How Visit Vail collects, uses and protects your personal information — and what we never touch.

Who We Are

This website is operated by Visit Vail by Esquiar LLC (“Visit Vail”, “we”, “us”), a vacation rental management company serving Vail, Beaver Creek, Avon and the surrounding Vail Valley in Colorado.

We are the party responsible for the personal information described in this policy.

To confirm — registered business address. A privacy policy has to state where the company responsible for the data is registered. Please give us the full mailing address exactly as it should appear here. This is the same address needed for the Terms and Conditions.

Information We Collect

When you send an enquiry. Our contact form asks for your name, email address and message, all of which are required. You may also give us your phone number, the number of guests, and your arrival and departure dates. We store these enquiries on this website and also send them to our team by email.

When you make a booking. To reserve a property we need your name, email address, phone number, stay dates and the number of guests. This information is passed to Guesty, the reservation platform we use to manage our properties.

Payment details. See Payment Information below. In short: card details go directly from your browser to our payment processor and are never received or stored by this website.

Automatically. Like nearly every website, our server records standard technical information when you visit: IP address, browser type, the pages you view and the time of your visit. We use this to keep the site running and secure.

How We Use Your Information

  • To answer your enquiry and recommend properties that fit what you asked for.
  • To take, confirm and manage your booking, including check-in details and guest communication.
  • To take payment and to guard against fraudulent transactions.
  • To meet our legal, tax and short-term rental licensing obligations, including those of the Town of Vail.
  • To keep the website working, secure and free of abuse.

We do not sell your personal information, and we do not share it with third parties for their own marketing.

Payment Information

This is worth stating plainly, because it is the part guests most often ask about.

When you pay for a booking, your card details are sent directly from your browser to our payment processor using their own secure form. The card number never reaches this website, our servers, or our email. We receive only a token — a reference that lets us charge the agreed amount — along with the last digits and the card type.

If your bank asks for additional verification (3-D Secure), you will be taken to your bank’s own page to confirm and then returned here. We never see the credentials you enter there.

Who We Share Information With

We share personal information only with the companies that make a booking possible, and only with what they need:

  • Guesty — the reservation and property management platform that holds our calendars, rates and guest records.
  • GuestyPay (Amaryllis) — processes card payments and holds the payment token.
  • Forter — screens bookings for payment fraud. This is why a booking can occasionally be declined even when your bank approves the card.
  • Our website host and email provider — they store the enquiries you send us.
  • Property owners and our local team — the name and stay dates needed to prepare and service the property.
  • Authorities — where the law requires it, including short-term rental reporting and tax obligations.

If you booked through a travel platform such as Airbnb, Booking.com or Vrbo rather than directly with us, that platform’s own privacy policy also applies to how they handled your details before passing them to us.

Cookies and Analytics

Cookies we need. Some cookies are required to make the website work at all — keeping it secure and remembering your choices while you browse. These are always on and cannot be switched off.

Google Analytics. We use it to understand how people find and use the site: which pages get read, which properties get looked at, and where visitors came from. It sets cookies and sends that information to Google. It does not tell us who you are — we cannot see your name or email address from it.

Google Search Console. This shows us which searches bring people to the site. It sets no cookies and does not follow individual visitors.

To confirm — the full list of measurement tags. This section has to name every tag that actually runs on the site. Please send the final list before launch. It matters especially if any of them are advertising or remarketing tags — Google Ads, Meta Pixel and the like. Those follow visitors across other websites, which is a different thing from analytics, and they mean the site needs a cookie consent banner rather than just this page.

How Long We Keep Information

We keep booking records for as long as needed to provide the stay, handle any follow-up, and meet our tax and licensing obligations.

To confirm — retention periods. How long should we keep (a) enquiries that never became a booking, and (b) completed booking records? A common choice is 12–24 months for enquiries and 7 years for booking and payment records, matching tax retention rules. Please confirm what fits your accountant’s advice.

Your Privacy Rights

You can ask us to tell you what personal information we hold about you, correct it if it is wrong, or delete it where we are not required to keep it. You can also ask us to stop contacting you.

Depending on where you live, you may have specific rights under state or national privacy law — for example the Colorado Privacy Act, or the California Consumer Privacy Act if you are a California resident.

To confirm — which laws to name. This section should name the privacy laws that actually apply and set out the exact request and appeal process each one requires. That depends on where guests come from and on the governing law chosen for the Terms and Conditions — the same open question. This is the one part of the page we recommend a lawyer reviews rather than us drafting it.

Children’s Privacy

This website is intended for adults booking accommodation. We do not knowingly collect personal information from children. Where a booking includes children, we collect only the number and ages needed to prepare the property and to apply occupancy rules.

How We Protect Information

The website is served over an encrypted connection. Access to enquiries and booking records is limited to the people who need it. Card details are handled entirely by our payment processor, which reduces the risk to you: there is no card number stored here that could be exposed.

No system is perfectly secure. If a breach affects your personal information, we will tell you and the relevant authorities as required by law.

Visitors From Outside the United States

Our properties, our team and our servers are in the United States. If you contact us or book from another country, your information will be transferred to and processed in the United States, where privacy law differs from that of your home country.

Changes to This Policy

If we change how we handle personal information — for example by adding a new measurement or advertising tag — we will update this page and change the date below. Significant changes will be highlighted.
