Check-In and Check-Out
- Check-in: 4:00 p.m. Early check-in must be pre-approved by Visit Vail.
- Check-out: 10:00 a.m. Late check-out must be pre-approved by Visit Vail. Additional charges may apply if you stay past this time.
Deposit Policies
- 40% of the total rental cost is due at the time of booking.
- The balance of the total rental cost is due 30 days prior to arrival.
- If a reservation is made within 30 days of arrival, the total rental cost is due in full at the time of booking.
Security Deposit and Vacation Rental Damage Protection
Guest must select either the Vacation Rental Damage Protection plan or a Security Deposit:
- Vacation Rental Damage Protection: a $79, non-refundable fee that covers accidental damage to the unit up to $1,500.
- Security Deposit: a minimum of $1,500 (may be higher depending on the property).
Guest must notify Visit Vail of any damage to the unit during the stay. Purchasing the protection plan in lieu of a security deposit does not relieve Guest of responsibility as a tenant. Any damages exceeding $1,500 will be charged to the credit card on file. If that card is declined, Guest agrees to provide Visit Vail by Esquiar LLC with an immediate alternate form of payment.
Cancellation and Refund Policies
- Free cancellation within 48 hours of booking, for reservations made more than 30 days prior to arrival.
- Cancellations made 30 days or less prior to arrival will be charged the full reservation total, which is 100% non-refundable.
- We are unable to refund or prorate reservations due to any issues or delays, including but not limited to weather or health. Travel insurance is available for purchase and is recommended.
Smoking and Pets
- Smoking is not permitted. A minimum fee of $500 may be charged if smoking is detected in the unit.
- Pets are not allowed. A minimum fee of $500 will be charged if unapproved pets, or evidence of pets, is discovered. Violation of this policy will result in additional charges to return the property to an allergy-free condition, including but not limited to steam or dry cleaning of all carpeting, area rugs, drapes, bedding, and linens throughout the unit. We reserve the right to require that the pet be boarded immediately, or to terminate the rental agreement.
Housekeeping Services
- A housekeeping checkout fee is applied to every reservation to clean the rental home after departure.
- We provide a starter supply of soap, shampoo, and body lotion; these amenities are not restocked during your stay, so please plan accordingly. Laundry soap is provided, and each bathroom is stocked with towels. Used towels will be replaced during your mid-stay clean, if applicable. Additional towels are available for a small fee.
- Daily or additional housekeeping service is available at an extra charge; prior arrangements are required.
- Our housekeepers travel to each property and are not on-site. If housekeeping is turned away on its scheduled day and time, a fee will apply for a return visit, and a same-day return is not guaranteed.
- Excess Cleaning: Guest must leave the property in a reasonably clean condition. If the property is not left reasonably clean — excluding normal wear and tear — Guest’s credit card may be charged an excess cleaning fee equal to the actual additional cleaning cost incurred to restore the property to its condition at check-in.
Supplies and Furnishings
Properties are fully furnished, including bedding, pillows, towels, and an equipped kitchen, unless otherwise specified. A limited starter supply of paper products and bath and dish soap is provided but will not be restocked if used during your stay, so we recommend bringing additional personal items. If you rely on a specific product, please plan to bring it with you.
Additional Person Charges
Each property has a maximum occupancy. Exceeding this limit may result in a minimum additional charge of $250 per day, charged to the credit card on file, or eviction of some or all members of the party.
Noise and Events Policy
Out of courtesy to neighbors, quiet hours are from 10:00 p.m. to 8:00 a.m., and include (but are not limited to) loud music or other loud noise. Out of respect for our neighbors, large social gatherings (such as birthday parties, ceremonies, weddings, and receptions) are prohibited at any of our rental properties unless prior arrangements have been confirmed with our office. Failure to observe quiet hours or the events policy may result in immediate eviction, with no refund for unused nights.
Town of Vail Ordinance
Vacation rental properties located within the Town of Vail must comply with the town’s short-term rental ordinance. It is imperative that you adhere to the following:
- Quiet hours of 10:00 p.m.–8:00 a.m. MST.
- Excess noise is defined as any noise audible from another property.
- Any other nuisance as identified by neighbors near your rental property.
Guests reported to the Town for violating this ordinance will be fined $2,000. This fine will be passed on to the guest staying in the reported property and charged automatically to the credit card on file.
Internet / TV Service
Properties use one or a combination of the following providers for internet and/or television service: Comcast, CenturyLink, DirecTV, or Dish Network. These are third-party vendors and not part of Visit Vail by Esquiar LLC; we cannot guarantee uninterrupted service, especially given mountain conditions, though we make every effort to ensure they are functioning. Service issues are not emergencies — please contact our office during normal business hours. No refunds will be issued for service interruptions. If there is a technical issue with your personal equipment (computers, phones, tablets, etc.), Visit Vail can dispatch a technician at the guest’s expense, billed to the credit card on file; we do not provide technical support for devices that are not part of the unit.
Risk and Liability
There are risks associated with the use of any property, which may include injury, property damage, or death — particularly at this high-altitude location with severe winter climates. Please contact Visit Vail by Esquiar LLC immediately with any concern about a condition you believe may present an unreasonable risk.
Given winter conditions, risks around the property may include: wet, slippery, or icy surfaces, indoors and out; falling snow or ice; use of or proximity to a pool, bathtub, or hot tub, including risk of drowning, heart attack, stroke, or reaction to pool or cleaning chemicals; allergic or other reactions to cleaning or “freshening” products, or to synthetic materials; actions of third parties not under the control of the property manager or owner; theft of or damage to personal property; electric shock or injury from the use or misuse of electrical or mechanical devices; and injury from the use of garbage disposals, trash compactors, steam showers, saunas, and similar appliances.
Guest and all members of the rental party assume all risk and liability associated with these conditions and waive the right to claim damages related to them, to the fullest extent permitted by law.
Guest Agreement
Visit Vail by Esquiar LLC provides rental management services on behalf of homeowners who rent their properties (including associated fixtures and furnishings) to guests on a short- or long-term basis. We act as the Owner’s authorized rental agent and perform services related to your reservation. By using the property and our services, you agree to comply with, and be legally bound by, the terms and conditions of this agreement.
Indemnity
Neither the Owner nor Visit Vail by Esquiar LLC assumes liability for loss, theft, damage, or injury to Guest, Guest’s invitees, or other occupants of the property. Guest, on behalf of themselves and their heirs, assigns, executors, and administrators, releases and discharges the Owner and Visit Vail by Esquiar LLC from any and all claims, demands, and causes of action arising from any injury that has occurred or may occur to Guest, Guest’s invitees, or other occupants as a result of, or in connection with, occupancy of the property, and agrees to hold the Owner and Visit Vail by Esquiar LLC harmless from any claim or suit arising from it. In any action concerning the rights, duties, or liabilities of the parties to this Agreement, the prevailing party shall be entitled to recover reasonable attorney’s fees and costs.
Sale Contingency or Unavailability
In the rare event that your reserved home is for sale, has sold, or is otherwise unavailable, Visit Vail by Esquiar LLC reserves the right to substitute a comparable home at no additional charge to the guest.
Credit Card Authorization
By submitting this form, I authorize Visit Vail by Esquiar LLC to charge my credit card for the following:
- Repair costs for damage beyond normal wear and tear.
- Repair or replacement cost of broken or missing items.
- Any requested incidental charges incurred by me or my party during our stay.
- $25 for each unit key not returned upon departure. (Keys may be left in the unit; most properties do not use physical keys.)
- $75 for each garage remote not returned upon departure. (Not all units have garages or garage remotes.)
- A minimum of $500 should smoking occur in the unit.
- Steam cleaning of carpet and furniture if I or any member of my party brings a pet into the property. I understand that pets are not permitted inside the property.
- A fee for last-minute and/or unapproved early check-ins or late check-outs.
If any charges arise, Visit Vail by Esquiar LLC will contact you by email with the amount and reason for the charge.
